Hidden Costs Breakdown

1

Provisional Member Auto-Conversion

critical addon

Under the new User Subscription Model (USM) rolled out in 2024-2025, any user with editor permissions is automatically converted to a paid member. Previously, unlimited free collaborators were allowed. This can significantly increase costs as the system auto-provisions licenses without admin approval, leading to surprise charges during quarterly true-ups.

reddit

The new subscription model will likely force our company to drop Smartsheet within the next 2 years. We estimated the number of users who, based on how they use Smartsheet now, will need a paid license. In 2 years our plan will reach the new pricing per license per our contract which will result in us paying more annually for Smartsheet than for our ERP

reddit

80% of their users are currently unpaid collaborators and from what I gather, they are about to start charging

2

Premium Apps (Data Shuttle, Dynamic View)

high addon

Essential features like Data Shuttle (for bulk data import/export) and Dynamic View (for filtered user views) require separate premium app purchases. Historically priced at $12,700-$15,000 per year, recent pricing changes reduced this to $240-$600/year minimum, but it's still a significant add-on cost not included in base licensing.

reddit

Dynamic View now starts at $600/year per view (also on true-up though) www.smartsheet.com/pricing

reddit

Hello! This lead is coming my way for a potential interest in Dynamic View.I am sharing with you pricing as of now ($15k) for a Bundle plan called Smartsheet Advance containing that app and many more.If purchased in standalone, Dynamic View costs $12,700 a year solely for that add-on.

3

Enterprise SSO/SAML Requirement

high compliance

True SAML-based SSO requires an Enterprise plan. The Business plan advertises 'SSO' but only supports OIDC (OpenID Connect) and TOTP, not SAML. This is a deceptive practice where SSO ≠ SSO depending on the plan tier. Upgrading to Enterprise just for SAML can be a 3-5x cost increase over Business pricing.

reddit

That pricing page is deceptive. Their 'SSO' on that pricing page refers to the OIDC-based SSO options and TOTP. A recent change gutted the capability for business licensees to restrict your users to use one method over the other. Enterprise SSO for enterprise lets you restrict your users to SSO only and/or setup SAML-based SSO. Short version: SSO ≠ SSO in Smartsheet land. It's a deceptive business practice IMO, and they every bit deserve to be on the SSO wall of Shame.

4

Minimum License Requirements

medium addon

Business plan requires a minimum of 3 licenses, even if you only need 1-2 users. This minimum was briefly lowered to 1 license in 2024 but quickly reverted. For a 3-user minimum at $25/user/month (annual), that's $900/year even if you only have one active user.

reddit

The business plan has always been minimum of 3 licences (and now members), it's not possible to downgrade to less than that, the crm won't let us do it anyway. There was a short period of time (like 3 months) last year when someone high above decided it was going to be a great idea to lower the minimum to 1 and then backtracked almost as fast as they came up with the idea...

5

Resource Management Add-On

medium addon

Resource management functionality (capacity planning, allocation tracking) is a separate expensive add-on, not included in base Smartsheet. Users report it as 'lackluster' even at the premium price point. Alternative tools exist at better prices, or users build custom solutions within Smartsheet to avoid the cost.

reddit

I feel their resource management tool is pretty lackluster. IMO there are much better options at the price point they have it set to.

reddit

I was annoyed by their newly paid resource management add-on and I don't have the time to build something up by hand.

6

Control Center and Smartsheet Advance

high addon

Advanced automation, blueprint creation, and enterprise governance features require Control Center or the Smartsheet Advance bundle (starting at $15,000/year for 30 configs). These features seem like they should be included in Enterprise but are actually separate premium tiers.

reddit

The pricing has recently increased of because Smartsheet Advance was released. It's now starting at $7,000/year for 30 configs/views.

7

Quarterly True-Up Reconciliation

medium overage

The new pricing model requires quarterly reconciliation of provisional members. If you don't downgrade unused users every 3 months, you'll be automatically billed for them. This creates ongoing administrative overhead and surprise invoices if not carefully monitored.

reddit

I was told we will not be invoiced for anything if we do the quarterly reconciliation, which is new but my rep said it would take less than 5 minutes once every 3 months.

reddit

If you do run into true up issues, my best advice is to reach out EARLY to discuss. There may be options to help, but if you reach out the day before your true up to say 'sorry we didn't get around to this and we have 10,000 provisional members we don't want to pay for', you're sort of SOL.

Example: True Cost for 25 Users

License (25 × $25 × 12) $7,500/yr
Provisional Member Auto-Conversion +$25/user/month
Premium Apps (Data Shuttle, Dynamic View) +$240-$15,000
Enterprise SSO/SAML Requirement +200-400% of license costs
Minimum License Requirements +$900-$2,280
Resource Management Add-On +10-20% of license costs
Control Center and Smartsheet Advance +$7,000-$15,000
Quarterly True-Up Reconciliation +5-15% of license costs
Estimated Year 1 Total ~$0
That's roughly 0.0× the advertised license price. The median Smartsheet contract is $384/yr across Vendr purchases.
